The firm inbox that knows the job.
A full mail client built into your account. Your firm gets its own @home.uk addresses on day one, every thread lands on the booking it belongs to, and the whole team can see what's answered and what's still waiting — not just whoever's inbox it happens to sit in.
The problem
Surveying runs on email. Email is where jobs get lost.
Most firms run client work through personal inboxes — one surveyor's account, plus forwarding, plus a practice tool that never quite sees the conversation. Every quote, booking and chase lives somewhere only one person can check.
The forwarded thread
"FW: FW: RE: quote" — the client's question is four forwards deep, the attachment fell off at forward two, and nobody is sure who owns the reply.
The one-person inbox
The booking confirmation sits in an inbox belonging to whoever answered the phone. They're on site all day. The client rings twice; nobody else can even see the thread.
The re-keyed CRM
The practice system says "quoted". It doesn't say what was quoted, when the client opened it, or that they replied asking about Thursday — because the conversation lives in a different app.
Mail closes the gap by making the inbox and the job record the same system — watch what that looks like.
The self-triaging inbox
Post arrives. It files itself.
Inbound mail labels itself by what it is, lands in the right purpose mailbox, and — when it belongs to a job — pins the whole thread to that job's record. Here's the morning post sorting itself out.

Hi — do you cover SW4? Looking for a Level 2 on a 1930s flat…
Thursday 9am works for access — keys with the neighbour…
Remittance advice attached for invoice on the Elm Grove file…

The client, built in
A proper mail client — not a message log.
This is the actual Mail surface inside the surveyor dashboard: an inbox list, a full reading pane, compose from any mailbox you're allowed to use, and search across every conversation your firm can see.
One inbox
Your own mailbox plus every firm mailbox you can access, in a single list — nothing lives where only one person can check it.
Threaded reading pane
The whole back-and-forth in one view, attachments kept on the conversation they arrived with — not a chain of forwards.
Compose from any mailbox
Reply as bookings@, send as yourself, forward with the file attached — with drafts saved as you go.
The full working set
Custom labels, stars, snooze, archive, trash with restore and bulk actions across many threads at once.
Your firm's own address
One subdomain. Every address your firm needs.
Claim your profile and your firm gets its own corner of home.uk — with a canonical hello@ mailbox provisioned before you've touched a setting.

Add or retire purpose mailboxes any time in Settings → Email routing
The purpose-mailbox map
hello@ is set up for you; the rest are one-click additions from Settings → Email routing — office@, team@, sales@, bookings@, enquiries@, customercare@, accounts@, or any name you choose. Each keeps its own thread history and unread count, so it's clear whose job it is to reply.
Purpose does the routing
Give a mailbox a purpose — bookings, sales, enquiries, support, accounts or marketing — and the platform's own sends go out from the right one automatically: quotes from sales@, booking confirmations and reminders from bookings@, payment receipts from accounts@. Your clients see a firm with departments, not one overloaded address.
A routed address per person
Every surveyor and admin gets their own address on the firm subdomain the moment they join the team — nothing to request, nothing to configure. Client conversations can be personal without living in a personal inbox.
Own domain? Honest answer: not yet
We don't route mail through custom domains yet — every send today goes from your @home.uk addresses. If bringing your own domain matters to your firm, register your interest from the email routing settings page and we'll tell you the moment it's ready.
On the job
Open the booking. The conversation is already there.
Mail and the Bookings CRM share one spine. Every job's Emails tab merges what your firm sent — with its receipts — and every reply the customer made, in one chronological view.
That works — can we book the Thursday slot?
Job record — Bookings CRM
Level 2 survey · SW11 (illustrative)
Whoever opens this job sees the whole conversation — not just that an email exists somewhere.
The thread rides with the job
Quote, receipt, reply — pinned to the booking as one record. Whoever opens the job sees the state of the conversation, not just the fact that an email exists somewhere.
Matching that doesn't need you
Replies find their own way home. Matching is by the customer's known email addresses — including the routed @home.uk address the platform gives each customer conversation — so the thread stays attached to the same job without anyone filing anything.
Sent and received, one timeline
The Emails tab merges two sources: everything the firm sent (each carrying its delivery and open receipts) and everything the customer sent back. No more "check your sent items, I'll check mine".
Attachments stay put
Anything sent or received as an attachment lives on the thread it arrived with. Open the conversation and it's right there — not in a separate archive you search on its own. Terms and signed documents have their own home in Documents & e-sign.
Delivery you can see
Every send comes back with a receipt.
"Did they get it?" stops being a guess. Each message your firm sends records its own receipt trail, visible on the thread in Mail and on the job in the CRM.
Bounces are flagged, not buried. A bad address shows up on the thread straight away, so you ring the client instead of waiting three days for silence.
Receipts live where you work. The same trail shows on the thread in Mail and on the job's Emails tab in the CRM — one source of truth for "has the client seen the quote?"
Sound like one firm
Every reply, on letterhead.
Templates, signature identities and sign-off rules live in your firm settings — so a quote from the new starter reads exactly like a quote from the principal.
Firm templates
Build and edit per-firm templates — quote covers, booking confirmations, chase wording — ready to drop into any reply, with a live preview and test-send before you commit.
Signature identities
Name, role, photo and sign-off per identity — so mail from bookings@ signs off as the firm, and mail from a surveyor signs off as them.
Sign-off & lead rules
Set the default sign-off that goes out on automated sends, and the rules for how new inbound enquiries route to the right person's plate.
AI-drafted replies
Ask the built-in AI for a draft — it reads the last few messages on the thread plus your instructions, and writes a reply you edit. Nothing sends without you pressing send.
A postmaster's morning
The post is sorted before the kettle's boiled.
The tidiness of a well-run sorting office, applied to a surveying firm's mornings.
Overnight
The post arrives
Enquiries, confirmations and remittances land while the firm sleeps — each one already addressed to the mailbox whose job it is.
Already sorted
Every pigeonhole kept
bookings@ knows its bookings, accounts@ its remittances. Each purpose mailbox keeps its own history and unread count — nothing in a personal pile.
08:12
Tea first, then triage
One inbox over one cuppa: what's open, what's waiting, what's done. Assign the tricky one, snooze the Friday one, and get out to site.
How Mail compares
Mail vs the inbox you're running now.
Personal inboxes weren't designed to run a firm, and generic shared-inbox tools weren't designed to run surveys.
| Capability | Generic shared-inbox tool | |
|---|---|---|
| Firm address on day one | [email protected], automatic | You bring and manage a domain |
| Purpose mailboxes + per-user addresses | One-click, no per-mailbox charge | Usually priced per seat |
| Threads attach to the survey job | Automatic, on the CRM job record | No survey CRM built in |
| Delivery & open receipts on the thread | Queued → clicked, bounces flagged | Varies by plan |
| Triage states & assignment | Open / waiting / done, per thread | Usually yes |
| Internal notes on the conversation | Yes, with @mentions | Usually yes |
| Booking, diary, payments & reports in the same account | One platform, one login | No |
| Price | Free with your verified listing | Typically per seat, per month |
Getting started
From claim to first send in four steps.
No migration project, no DNS records, no IT ticket. The mail spine is provisioned as part of claiming your firm.
Claim your firm
Search for your firm by name or postcode — most RICS-regulated firms are already listed, so you just claim yours. Not there? Register it in the same panel, free.
Your addresses appear
Your firm's subdomain of home.uk and its canonical hello@ mailbox are provisioned automatically — and every team member you add gets their own routed address the moment they join.
Fan out the inbox, if you want to
Add purpose mailboxes from Settings → Email routing with one click — bookings@, sales@, enquiries@, accounts@ — and set up templates, signature identities and your default sign-off while you're there.
Send from the job
Open a booking, write the email, press send. The thread pins itself to the job, the receipt trail starts, and every reply finds its own way back. That's the whole system.
Part of the platform
Mail is the correspondence spine of the whole firm.
The tools below read from and write to the same threads — one conversation record across booking, signing, payment and delivery.
Bookings CRM
Every job in one pipeline — and every job's Emails tab is this tool, seen from the other side. Threads pin to leads and bookings automatically.
Campaigns
Mail is for the back-and-forth on one job; Campaigns is for sends to a list — built on consented recipients with per-recipient tracking and unsubscribe handled.
Customer portal
Clients see their job's progress in a branded portal — fewer "any update?" emails landing in your inbox in the first place.
Documents & e-sign
Terms of engagement sent with the booking, chased automatically, stored on the job — the paperwork half of the same correspondence spine.
Telephony
The firm's phone number, sitting beside the firm's inbox — calls land in the browser with a shared log, the way threads land in Mail.
Calendars & Requests
When the reply says "Thursday at 9 works", the diary is one tab away — live availability per surveyor, bookings straight in.
FAQ
Common questions about Mail
Addresses & @home.uk
What email address does my firm get?
Your firm gets its own subdomain of home.uk — yourfirm.home.uk — provisioned automatically when you claim your profile, along with one canonical hello@ mailbox set up for you on day one. You can add further purpose mailboxes whenever you like from Settings → Email routing.
Which purpose mailboxes can I add?
The routing settings page offers one-click suggestions — hello@, office@, team@, sales@, bookings@, enquiries@, customercare@ and accounts@ — or you can name your own. A handful of local parts that collide with mail standards, such as postmaster@, abuse@ and noreply@, are reserved and can never be provisioned.
Does every team member get their own address?
Yes. Every surveyor and admin at the firm gets a routed address on the same firm subdomain, provisioned the moment they join — no separate mailbox to request or set up by hand.
Can I keep my existing email address?
Not yet as a live send-from address — every message from your account currently sends from your firm's @home.uk address. If you'd rather keep sending from your own domain, you can register your interest from the email routing settings page, and we'll let you know when bringing your own domain is ready.
Do customers see @home.uk in my emails?
Yes, today every email your firm sends goes out from a yourfirm.home.uk address — either your canonical hello@ mailbox, a purpose mailbox you've added, or a team member's personal routed address. That changes only if and when bringing your own domain becomes available.
Working the inbox
How does the shared inbox stop two people answering the same email?
Three ways. Any thread can be assigned to a named member of your firm, so ownership is explicit. Every thread carries a triage state — open, waiting or done — so the list itself shows what still needs a reply. And while a colleague has a thread open, a live indicator shows they're viewing it, so you don't both start typing the same answer.
Can we discuss an email without the client seeing?
Yes. Every thread supports internal comments — team-only notes that sit alongside the conversation and are never sent to the customer. You can @mention a colleague to pull them in.
Does Mail have labels, snooze and archive?
Yes — the client covers the full working set: custom labels you create and colour yourself, stars, snooze, archive, trash with restore, drafts, forwarding and bulk actions across many threads at once.
Can AI help write a reply?
Yes. From any thread you can ask the built-in AI for a draft — it reads the last few messages on that thread, plus any half-written draft and instructions you give it, and writes a reply for you to edit. Nothing sends without you pressing send.
Is there an app to install?
No — Mail is part of your surveyor account in the browser, on desktop or phone, alongside the CRM, diary and report tools. There's nothing to install and no separate login.
On the job & tracking
What happens when a client replies?
Their reply lands back on the same thread, attached to the same booking — whoever opens that job in the Bookings CRM sees the full conversation, not just the fact that an email exists somewhere.
How do emails end up on the right job?
Matching is by the customer's known email addresses, including the routed @home.uk address the platform gives each customer conversation. The job's Emails tab merges what your firm sent — with its delivery receipts — and every inbound reply, in one chronological view.
Can I see whether a client opened my email?
Yes. Every send records a receipt trail — queued, sent, delivered, opened and clicked, with bounces flagged — visible on the thread in Mail and on the job's Emails tab in the CRM.
Where do attachments live?
On the thread. Anything sent or received as an attachment stays on the email thread it arrived on in Mail — open that conversation and it's right there, not buried in a separate archive you have to search on its own.
Pricing & what's next
Is Mail free?
Yes. Mail is part of the free Home.co.uk platform every RICS-verified firm gets — no subscription, no per-mailbox charge, whatever the size of your team. If another tool is charging your firm for a shared inbox, templates or signature management, this is built to replace it.
What about bulk marketing emails?
Mail is for the back-and-forth on a single job. For sends to a whole list — reactivation, review requests, seasonal campaigns — use the Campaigns tool, which is built on consented lists with per-recipient tracking and one-click unsubscribe handled for you.
